Privacy Policy

1. Who we are

Mercan Recruit Ltd. (“Mercan Recruit,” “we,” “us,” “our”) is a subsidiary of the Mercan Group of Companies, headquartered in Montreal, Quebec, Canada. We operate the website https://www.mercanrecruit.com(the “Site”).

2. What data we collect

We collect the following categories of personal information:

  • Form submissions: name, company, work email, phone number, country (USA or Canada), and message text — only when you voluntarily submit the Employer Consultation form or the Speak With a Workforce Specialist form.
  • Technical metadata: source URL, referrer header, user agent, and a hashed IP address (we hash your IP with a server-side salt and never store it in raw form).
  • Marketing attribution: UTM parameters (utm_source, utm_medium, utm_campaign, utm_term, utm_content) from your inbound link, if present.
  • Cookies and analytics: only if you opt in via our cookie banner. See our Cookie Policy for details.

3. Why we collect it (purposes)

  • To fulfill your consultation request — contact you back within one business day with program-matched information.
  • To improve the Site — understand how visitors use the Site (analytics, opt-in only).
  • To comply with legal obligations — records retention, anti-fraud, regulatory reporting if required.

4. Legal basis (GDPR) / legitimate interest (PIPEDA/CCPA)

We process your personal information on the following legal bases: (a) your consent (e.g., submitting a form, opting into analytics cookies); (b) our legitimate interest in running a lawful recruitment consultancy, responding to inquiries, and protecting the Site from abuse; (c) legal obligation (records retention).

5. How long we keep it

  • Form submissions: retained for up to 24 months after our last contact with you, then deleted or anonymized.
  • Hashed IP + user agent: retained for 12 months for anti-abuse/fraud purposes, then deleted.
  • Analytics cookies: per Google Analytics 4 defaults (14 months), if you have consented.

6. Who we share it with (processors)

We share personal information only with the following:

  • Mercan Group of Companies affiliates — for operational fulfillment of your consultation.
  • Supabase (database host) — infrastructure provider; U.S./Canada region data residency.
  • n8n automation — for internal lead routing and email notifications (self-hosted on Mercan infrastructure).
  • Google Analytics 4 (opt-in only) — for aggregate usage analytics.

We do not sell, rent, or trade personal information. We do not share it with advertising networks or data brokers.

7. Your rights

Depending on your jurisdiction, you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Deleteyour personal information (“right to be forgotten”)
  • Withdraw consent at any time
  • Portability — receive a copy in a machine-readable format
  • Object to certain processing
  • Not be sold (CCPA) — we do not sell data

To exercise any right, email info@mercan.comwith the subject line “Privacy Request.” We will respond within 30 days (PIPEDA) or 45 days (CCPA).

8. How we secure data

  • Data encrypted in transit (HTTPS/TLS 1.2+)
  • Data encrypted at rest (Supabase PostgreSQL defaults)
  • Access restricted to authorized Mercan staff via role-based controls
  • IP addresses hashed with a server-side salt before storage
  • Form endpoints rate-limited and honeypot-protected

9. International transfers

Mercan Recruit operates primarily in Canada, with data infrastructure in Canada/U.S. regions. If you are in the EU or UK, your personal information may be transferred to Canada, which the European Commission has recognized as providing adequate data protection.

10. Children

The Site is not directed at children under 16 and we do not knowingly collect their personal information.

11. Changes to this policy

We may update this policy. Material changes will be signaled by updating the “Last updated” date at the top. Where legally required, we will obtain fresh consent.
